How to open it in Google Sheets

Google Sheets can import .xlsx files (File › Import). The steps from Google's help page:

  1. On your computer, open or create a spreadsheet in Google Sheets.
  2. At the top, click File › Import.
  3. Choose the .xlsx file you downloaded.
  4. Select an import option, for example “Create new spreadsheet” or “Insert new sheets”.
  5. Click Import.

What's in the file

  • Schedule, time-block week: the title, a header row with the days (with dates like “Mon 10/12” when you set the week), then one row per time slot from your start hour to your end hour. Each block is one merged cell over its time slots, with its label and one of six fill colours; empty slots are blank, bordered cells ready to type in.
  • Schedule, employee shift week: names in column A; for each day a Shift column with text like “9:00 AM–5:00 PM” and an Hours column with the shift’s length as a number; a Total hours column per person and a Total row per day, both SUM formulas.
  • How to use: short notes on typing in the schedule, how the totals work and importing the file into Google Sheets.

The Schedule sheet is set to print on one landscape page. The preview above shows the same content as the file.

Frequently asked questions

Is this weekly schedule template free?
Yes. Set up your week above and press Download .xlsx. The file is built in your browser, so nothing you type is sent to us or saved.
Can I use it in Google Sheets or Google Docs?
The download is an .xlsx spreadsheet. It opens in Excel, and Google Sheets can import it: open or create a spreadsheet, click File > Import, choose the file, select an import option and click Import. It is a spreadsheet, not a Google Docs document.
What is the difference between the two layouts?
The time-block week has one row per time slot (15, 30 or 60 minutes) and one column per day; each block you add fills its slots in colour. The employee shift week has one row per person, a Shift and an Hours column for each day, and totals.
How are employee hours added up?
Each shift’s Hours cell holds its length in hours (9:00 AM–5:30 PM is 8.50). Total hours per person and the Total row are SUM formulas over the Hours cells, so editing an Hours cell in the file updates them; editing a Shift text does not. The template only adds hours: it does not work out breaks, overtime or pay.
Can a shift go past midnight?
No. A shift must end on the day it starts; an end of 12:00 AM means midnight. Split a night shift over two days, for example 10:00 PM–12:00 AM and 12:00 AM–6:00 AM. Shift times go in 15-minute steps (9:00, 9:15, 9:30…).
How many blocks or people can I add?
Up to 100 blocks with labels of up to 60 characters, or up to 50 people with names of up to 40 characters. Blocks on the same day cannot overlap.
